Position Description
We are seeking a Project Coordinator to join the Partner Strategy team. The Project Coordinator plays a critical role in supporting the successful execution of projects and services at Education Analytics (EA). This role ensures that internal and external stakeholders are informed of project progress, and that all administrative tasks, documentation, and coordination efforts are completed efficiently and effectively. The Project Coordinator primarily supports Service Delivery Leads and Implementation Leads, ensuring the smooth delivery of both partner-specific services and product implementation projects. They will be responsible for monitoring project milestones, coordinating communication between teams, maintaining project documentation, and tracking deliverables. This position requires a highly organized, detail-oriented professional with strong multitasking abilities, a collaborative mindset, and a proactive approach to problem-solving.

Duties and Responsibilities
Project Coordination & Administrative Support
- Assist Service Delivery Leads and Implementation Leads in executing project plans, tracking milestones, and ensuring deliverables are met.
- Monitor project timelines and progress, proactively identifying risks and escalating challenges.
- Develop and maintain project documentation, including meeting notes, reports, and status updates.
- Ensure all project activities, tasks, and deliverables have clearly assigned owners.
- Set up and maintain project plans in Monday.com, Jira, and other project management tools.
- Track and report on project risks, dependencies, and progress updates to leadership.
Internal & External Communication
- Schedule and facilitate project meetings, capturing key takeaways, action items, and follow-ups.
- Maintain and disseminate project updates internally and externally to ensure alignment.
- Serve as a liaison between project teams, internal leadership, and partners, ensuring seamless communication.
- Coordinate information sharing across Implementation, Services, Product, Data Science, and Engineering teams.
- Maintain project-related Slack channels, documentation repositories, and collaboration platforms.
Service & Implementation Support
- Support the delivery of custom and product-based services, ensuring proper documentation and tracking of service milestones.
- Assist in breaking down contracts into service deliverables and tracking them to completion.
- Track and update the status of implementation activities, ensuring data integration and onboarding efforts stay on schedule.
- Coordinate with product teams, engineers, researchers, and analysts to ensure partner requirements are met.
- Working closely with budget leads to tracking project financials, invoices, and contract management processes.
Process Improvement & Best Practices
- Identify opportunities to improve internal project tracking and reporting processes.
- Ensure all project documentation is organized, accessible, and updated for internal teams and partner stakeholders.
- Support efforts to standardize project workflows, improve meeting efficiency, and track key performance indicators (KPIs) for project execution.
- Assist in developing and implementing project management best practices across the Services team.
- Establish and maintain positive relationships with internal stakeholders at all levels of the organization, vendors, partners, and industry peers.
- Protect the security and privacy of all company and customer information and data.
- Perform other duties as assigned.
Required Knowledge and Skills
- Excellent multitasking and organizational skills, ensuring efficient coordination across multiple projects.
- Strong attention to detail, accuracy, and follow-through in tracking project deliverables.
- Excellent verbal and written communication skills, with the ability to interact professionally with stakeholders at all levels.
- Strong problem-solving abilities, able to anticipate project needs and proactively address challenges.
- Experience using project management tools (e.g., Monday.com, Jira, Smartsheet, Trello, Asana).
- Proficiency in Microsoft Word, Excel, Outlook, and Google Suite (Docs, Sheets, Slides).
- Customer-service oriented, ensuring positive interactions with both internal teams and external partners.
- Ability to work in a fast-paced, evolving environment while managing competing priorities.
- Familiarity with data analytics, education technology, or SaaS product implementation is a plus.
- Strong organizational and time management skills with proven ability to multitask and prioritize in a high paced environment with limited direction.
- Intermediate proficiency with Microsoft Word, Excel, and Outlook.
Education and Experience
- Bachelor’s degree in project management, business, education, public policy, or a related field.
- 2-4 years of experience in project coordination, program support, or administrative support for cross-functional teams.
- Experience in education, nonprofit, consulting, or SaaS organizations preferred.
Work Environment and Requirements
- Ability to communicate effectively in numerous conversations throughout the day on the telephone, in writing, on-line zoom and in person to provide information, collaboration and assistance.
- Ability to reach in all directions to store and retrieve files, use telephone, calculator, computer, and other office equipment.
- Ability to move inside the office to access file cabinets, office equipment, retrieve office supplies and make general deliveries.
- Dexterity and hand/eye coordination necessary to operate computer keyboard and other office equipment.
- Ability to complete job duties where there may be eyestrain due to constant viewing of computer screens.
- Ability to complete job duties in an environment where background noise and frequent interruptions are consistent.
- Demonstrate the ability to utilize basic math skills of addition, subtraction, multiplication, and division.
- Must be able to communicate effectively both orally and in writing, follow instructions and be able to comprehend written material or requests.
- Must demonstrate the ability to use reason and problem-solving skills in a fast-paced environment.
Compensation and Benefits
The salary for the Project Coordinator position is $51k-69k/year, based on experience. EA also has a generous benefits package including:
- A 12% employee salary contribution from EA to your 401k retirement plan
